How we use
your information.

This notice explains what personal information Green Code Consultants collects through this website and our services, why we use it, who we share it with and the choices you have.

LAST UPDATED 13 OCTOBER 2026

Who we are

Green Code Consultants Ltd is the controller of the personal information described here. We are registered in England and Wales, company number 14257020, and our registered office is Unit D New Wave House, 4 Humber Road, London NW2 6DW.

For any question about your information or this notice, email info@greencodeconsultants.com or write to our registered office.

What we collect

When you enquire about a project

Your name, email address, phone number if given, the site address, the services you are interested in and the details you tell us about your project, plus any drawings or documents you send.

When you use the site research tool

The postcode and, where you choose one, the address you look up, together with the project type and site details you select. To view your list of reports you give us your name and email address, and your phone number if you choose. These details and your results are sent to us so that we can follow up your enquiry.

When you ask for a trade account

Your name, email, phone, practice name, role and details about the work you send us.

When you apply to join our consultant network

Your contact details, business registration and VAT details, qualifications and professional memberships, insurance details and certificates, areas covered, the services you offer, and our notes from checking your application and rating completed work.

Why we use it

To respond to enquiries and prepare quotations, because you have asked us to take steps before entering into a contract.

To deliver our services, including coordinating the specialist consultants appointed for your project and liaising with the council, to perform our contract with you.

To check, appoint, pay and rate consultants in our network, to perform our contract with them and for our legitimate interest in providing reliable, properly insured specialists to clients.

To run the site research tool and follow up the results you submit, for our legitimate interest in giving visitors a useful guide to the reports their application may need and responding to their enquiry.

To keep proper business records and meet our legal obligations, for example for accounting and tax.

We do not sell your information, and we do not use it for automated decisions that have legal or similarly significant effects on you.

Who we share it with

Specialist consultants appointed for your project receive the project details they need to quote for and carry out their work. They are bound by confidentiality terms with us.

The local planning authority receives the information included in applications and submissions we make on your behalf.

Service providers who handle information for us: our email and office software providers; Netlify, which hosts this website and receives the site research form; and, for the site research tool, postcodes.io (to locate a postcode), the government's planning data service at planning.data.gov.uk and Searchland (to find addresses and planning constraints). Only the postcode, chosen address or map location is sent to these lookup services.

Where a provider processes information outside the UK, we rely on UK adequacy regulations or the UK's approved contract clauses to protect it.

How long we keep it

Enquiries that do not lead to an appointment: up to 2 years. Client project records: 6 years after the project ends, so we can deal with any questions or claims. Consultant applications that are not approved: 12 months. Approved consultants' records: while they are in our network and 6 years afterwards. Site research submissions are kept as enquiries, as above. Lookups made without submitting are not stored against you; our servers keep cached lookup results by postcode or location for up to 30 days to reduce repeat requests.

Cookies

This website does not set cookies or use analytics or advertising trackers. If that changes, we will update this notice and ask for your consent where the law requires it.

Your rights

You can ask for a copy of your information, ask us to correct or delete it, ask us to restrict or stop using it, object to uses based on our legitimate interests, and ask for information you gave us to be passed to another organisation. Email info@greencodeconsultants.com. We will reply within one month.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
